Managing your subscription

SafeStack Academy is a subscription based service based around a number of learners (or seats). In this guide we will show you how to manage your subscription, add new seats when you need them and remove them when you don't. Let's get started.

How to find details of your subscription(s)

  1. Visit https://academy.safestack.io
  2. Login to your account
  3. Choose "Account" from the "My Account" menu at the top of the page. This will take you to the account management section.

  4. On the left of the page you will see a menu of options. These allow you to manage various options for your SafeStack Academy account.
  5. Click on "Subscriptions" to open your subscription management page.

  6. Depending on your needs, you may have one or many subscriptions for different SafeStack Academy training programs.  Each subscription can be managed independently.
  7. Click on the purple "View" button next to the subscription you would like to manage.

  8. This will show you the details and all options for managing your subscription. Let's take a closer look.

Understanding your subscription

This page shows the following details for your subscription:

Status Whether your subscription is currently active or not. Courses are only available for active subscriptions.
Start Date When you started your subscription - sometimes known as your sign up date.
Last Order Date The last time your subscription was changed or renewed.
Next Payment Date The date of renewal for your subscription. This is the date at which payment for the next years access will be due.
Payment Details of the payment method associated with the subscription. See subscription payment options for details.
Actions

The actions you can take to manage this subscription including :

  • Cancel
  • Change payment method
  • Renew
Subscription Totals The number of seats and courses purchased as part of this subscription. This section details the subscription bundles you have access to and gives access to upgrade (add seats) or downgrade(remove seats).

 

Cancelling your subscription

Why would you need to cancel your subscription?

Life is full of change. Sometimes we change our mind and want to try something else. Sometimes our circumstances change and we are forced to change other parts of our operations as a result. Whatever causes you to change your mind about SafeStack Academy, we understand.

We will never make it hard to change with us, even if that means saying goodbye.

How to cancel your subscription

  1. From the "Subscription Management" page, click on the "cancel" button in the actions section.
  2. You subscription has now been cancelled.

How to reactivate a cancelled subscription

  1. From the "Subscription Management" page, click on the "Reactivate" button in the actions section.
  2. You subscription has now been reactivated and you can continue with your program.

If you have cancelled, we will reach out to you via email to find out more. We would love to use this moment to gather any feedback you might have and explore any additional ways we could have supported you.

Changing your payment method

Why would you want to change your payment method?

Whether you have changed your approach to paying for goods and services or you have simply changed your card details, its simple to change your payment method with SafeStack Academy.

Note: This option is only available to our customers who pay by credit card. If you wish to explore other payment options such as invoice, please contact our support team.

How to change your payment method

  1. Click on the button "Change payment method" to view your current payment method.

  2. This page allows you to view all the details associated with your current subscription and its payment method.

  3. The bottom form allows you to choose to continue to use your stored credit card or enter a new credit card. To change your credit card details, select this option.

  4. You will now be asked for your credit card details including the 16 digit PAN, expiry date and the security code (CVV).
  5. Once you are happy with the details you have entered. Click the "Change payment method" button. Your new payment details will be used at renewal or when you choose to upgrade your account, such as by adding seats

Adding new seats to your subscription (upgrading)

What are seats?

As we have previously covered, a seat is the license, assigned to a person (or learner) in SafeStack Academy. Much like at the dinner table, everybody needs their own seat to learn.

Why do you need to add seats?

SafeStack Academy subscriptions are sold in groups of seats. Sometimes if your organisation grows or changes, you might find you need a few more seats to assign to your new people.

How to add seats to your subscription

  1. From the "Subscription Management" page, click on the button "Upgrade or Downgrade" located in the "Subscription Totals" section.
  2. You will be shown the details for the program you are changing and asked to choose a new seat bundle level.
  3. Remember, SafeStack Academy works on the concept of "seat bundles".  When we upgrade, we are choosing the total size of the seat bundle we would like to have on our subscription not the number of seats we would like to add.

  4. For example, if you already have a subscription for 5 seats and would like to add 3 new seats, you would need to choose "10 seats" from the drop-down box to change your total number of seats to 10.
  5. At this time we are unable to sell seats individually, which means you may have 1 or 2 spare seats on your subscription. We are working to address this. If you need a specific size bundle that we do not cater for, please contact our support team.
  6. Once you have selected your seat bundle, click "Sign up now" to proceed to checkout.
  7. At checkout you will be asked to confirm your details and shown your new charges. The section labelled "Your order" will show the charges that will be processed to your preferred payment method.

  8. In the case of upgrades, the amount you have already paid for this year is subtracted from the total cost of your new bundle. Your payment method will be charged for this difference. 
  9. At renewal time, your payment method will be charged for the full annual amount for your new seat bundle.

Removing seats from your subscription (downgrading)

Why do you need to remove seats?

SafeStack Academy subscriptions are sold in groups of seats. Sometimes if your organisation  changes, you might find you need fewer seats.

Removing learners

Before you downgrade or remove seats from your subscription, you will need to remove any additional, unnecessary users from your team. Each team member is assigned a seat on your subscription and so when we reduce the number of seats, we must also reduce the number of learners to match.

Our support team monitor all account changes and will be in touch via email to assist with this process.

How to remove seats to your organisation?

  1. From the "Subscription Management" page, click on the button "Upgrade or Downgrade" located in the "Subscription Totals" section.
  2. You will be shown the details for the program you are changing and asked to choose a new seat bundle level.
  3. Remember, SafeStack Academy works on the concept of "seat bundles".  When we downgrade, we are choosing the total size of the seat bundle we would like to have on our subscription, not the number of seats we would like to remove.

  6. Once you have selected your seat bundle, click "Sign up now" to proceed to checkout.
  7. Note that SafeStack Academy does not offer refunds for seats purchased and then downgraded through the course of the year. The new seat bundle size and payment will be charged from your next renewal date.
